AV PRODUCTION Case Study
Medtech Rising 2025
Fastlane Audio Visual was proud to deliver full AV production for Medtech Rising 2025 – Ireland’s Business Leaders’ Conference and Medtech Awards Ceremony, held on the 3rd and 4th of December 2025 at the Galmont Hotel in Galway. This flagship industry event brought together Ireland’s leading medtech companies, innovators, and global stakeholders for two days of networking, pitching, and thought leadership. The programme included Medtech Connect+, where emerging SMEs showcased breakthrough technologies, followed by a full-day conference and a prestigious gala dinner and awards ceremony.
Pre-Event Planning & Collaboration
As a leading AV provider in Ireland, Fastlane Audio Visual adopted a structured and collaborative approach to planning this multi-format event.
A dedicated Key Account Manager was appointed to coordinate all aspects of production, ensuring clear communication between stakeholders and a consistent vision across both conference and awards elements.
Working closely with the organisers and venue team at the Galmont Hotel, we:
- Developed detailed floor plans for the Inis Mór Suite, mapping staging, screen layouts, audio coverage, and audience configuration.
- Created a visualisation to help the client clearly understand how the space would look and function across different event segments.
This planning phase ensured the event could deliver both high-level conference functionality and a premium awards experience within the same space.
Event Design and Execution
At the heart of the stage design was a large-format LED display setup, featuring an 8.5m x 3.5m centre screen, flanked by two 3.5m x 3.5m side LED video walls.
The stage itself measured 10m x 2.5m, finished with black carpet and enhanced with wooden panel detailing on the stage skirt for a polished, premium look. 30 metres of black drape framed the space.
We also provided:
- A Perspex lectern with integrated digital signage
- Six occasional chairs and water tables for panel sessions
- A 43” comfort monitor for speaker support
- A full autocue system for seamless delivery
Audio coverage was designed to ensure clarity across all sessions, with a full PA system supported by:
- Lapel microphones
- Handheld microphones
- DPA headset microphones for keynote speakers
Camera and Lighting Design
To support content delivery and audience engagement, we implemented a comprehensive camera package, including:
- Live camera relay to the LED screens
- A highlights reel produced during the event
- Full recording of all conference sessions
Lighting design played a key role in shaping the atmosphere across both days. The setup included:
- A 4-way stage wash to evenly illuminate speakers
- Room wash lighting to balance the overall environment
- 6 moving head spotlights for dynamic effects
- 12 vintage bowl-style lights positioned between the LED screens, colour-adapting to suit different segments of the event
The Awards
For the evening gala and Irish Medtech Awards, the production shifted to a more immersive setup.
A key element of this transformation was the complete transition of event content and visual identity. During the conference, screen content and branding followed a primary colour palette of red, yellow, and blue. For the awards, this was updated to a vibrant pink and purple palette, creating a distinct shift in mood from daytime conference to evening celebration.
For the lighting design, we introduced:
- A followspot to highlight award winners and presenters
- Haze effects to enhance depth and visual impact
- 18 additional uplighters to enrich the room ambience.
The result was a visually dynamic awards environment that clearly distinguished the evening event while maintaining a cohesive overall production.
Preconference Area
During the daytime conference, the media wall and entrance totems were aligned with the conference branding, featuring the primary colour palette of red, yellow, and blue, along with agenda information and sponsor recognition.
For the evening awards, this entire area was visually refreshed to match the new event identity. Content across the totems and displays was updated to reflect the awards design, while the media wall displayed the table plan.
This seamless transition between conference and awards ensured a cohesive attendee journey, with every touchpoint reflecting the tone and purpose of each phase of the event.
The Result
Medtech Rising 2025 was delivered as a seamless, high-quality production that successfully balanced the technical demands of a live conference with the energy and prestige of an awards ceremony.
The flexible AV setup allowed for smooth transitions between event formats, while the combination of LED visuals, camera integration, and dynamic lighting created an engaging and immersive experience throughout.
From arrival to awards, every element was designed to enhance the attendee journey—demonstrating Fastlane Audio Visual’s expertise in delivering complex, multi-day events with precision and creativity.
