AIPCO Business Events Conference 2026
This Case Study details the Association of Irish Professional Conference Organisers (AIPCO) Business Events Conference 2026. Held on 12th and 13th February 2026 at the elegant Lyrath Estate Hotel, in Kilkenny, the conference included a main plenary space, breakout rooms, and an exhibition area. We worked closely with Keynote PCO, the conference organisers, to deliver a complete AV production for the event.
Our brief was to design and deliver a high-impact technical production that matched the expectations of a highly experienced audience of event professionals. As a result, every element of the AV setup was delivered to the highest standard, using top-of-the-range equipment and production expertise.
Pre-Event Planning & Collaboration
Fastlane Audio Visual is a leading conference AV company in Ireland. We began with an initial site visit alongside the organisers, client, and hotel team at the Lyrath Estate Hotel to discuss the event requirements. We developed a detailed floor plan alongside a digital visualisation to help the client clearly see how the stage, screens, lighting, and seating layout would look and function on the day.
As the event approached, a dedicated production manager was appointed to oversee all on-site coordination. Pre-event planning meetings were held between our operations and logistics teams, the client, and the production managers. These sessions ensured clear communication, thorough coordination, and a shared understanding of the technical and logistical requirements needed to deliver a seamless event experience.
Bespoke Stage & LED Video Wall Design
For the main plenary, we created a custom stage design and AV setup that balanced striking visuals with practical functionality for speakers and panel discussions.
At the heart of the design was a custom-built stage featuring a distinctive diamond-shaped centrepiece, flanked by two straight wings. This structure provided a unique visual focal point while maintaining clear sightlines across the room.
A 20m x 3m LED video wall was creatively recessed around the stage’s diamond centre, forming a dynamic backdrop that enhanced presentation content and event branding.
Dynamic AV and Lighting Design
We installed a high-quality PA system designed to deliver clear, consistent audio coverage throughout the plenary room. A robust truss rig was also installed to safely support the flown audio and lighting equipment. The lighting design was carefully tailored to enhance both the stage and the overall atmosphere of the room, and included:
Stage wash lighting to clearly illuminate presenters
Moving head fixtures to add dynamic visual interest
Colour uplighting to enhance the ambience of the space and complement the event branding.
Exhibition & Pre-Conference Area
In addition to the main plenary, we also provided AV solutions in the exhibition and pre-conference areas. We installed a series of custom LED cubes branded with sponsor logos. These illuminated display features served as eye-catching focal points within the exhibition space. We also installed digital totem screens that displayed the conference agenda. A digital media wall was positioned within the exhibition area to showcase sponsor video content.
Together, these elements helped transform the exhibition and pre-conference area into a vibrant, branded environment.
Reception at St Canice’s Cathedral
Following the first day of the conference, delegates gathered for a drinks reception at the historic St Canice’s Cathedral in Kilkenny. We designed a lighting scheme that highlighted the architecture of the historic venue. The exterior of the cathedral was illuminated with dramatic coloured lighting and the AIPCO logo, creating an impressive arrival experience for guests. Inside the cathedral, we carried the lighting design through the space, creating a warm and welcoming environment.
The Result
Pre-planning played a key role in the success of the AIPCO Business Events Conference 2026, ensuring that every element of the production was delivered smoothly and efficiently. Our team carefully coordinated equipment management, transportation, and logistics, enabling AV systems to be delivered, installed, and tested.
