Pre-Event Planning & Collaboration
Fastlane Audio Visual’s key account manager coordinated an initial site visit with Keynote PCO and the client to assess the venue, review requirements, and identify any potential challenges.
Following this, we developed detailed floor plans for each event space and created front-of-house visualisations to help the client visualise how each room would look and function.
As a multilingual European congress, the event required translation and subtitling services, which were successfully integrated into our AV systems.
As the event approached, a dedicated production manager was appointed to oversee all on-site coordination. Several pre-event planning meetings were held between our operations and logistics teams, the client, and the production managers to ensure open communication, thorough coordination, and a shared understanding of the technical and logistical requirements for this large-scale multi-room event.
Shelbourne Hall
As the largest space at the congress, accommodating 2,000 delegates, Shelbourne Hall required a full-scale AV solution including:
- A powerful PA system with a full suite of microphones, including lapel, handheld, lectern, and top table options, ensuring clear audio throughout the hall.
- A striking LED video wall formed the centrepiece of the stage, supported by two large projection screens to ensure clear visibility for every delegate.
- The stage design featured a black drape backdrop and a stage with an integrated wheelchair ramp for full accessibility.
- Lighting was designed to illuminate the stage with an 8-way lighting wash. The room was light with coloured uplighters, batten lights, and moving heads to create a welcoming atmosphere. The lighting design was carefully balanced to create impact while creating an inclusive environment.
Concert Hall
The Concert Hall’s in-house AV infrastructure was seamlessly integrated with additional equipment to deliver a fully cohesive, high-performance production.
Audio was managed through our sound desk, incorporating the venue’s PA system, handheld microphones, and lectern mics to ensure clear, consistent sound throughout.
For visual delivery, the in-house projector and screen were controlled via a dedicated video switcher, enabling smooth and reliable content transitions. Two 86” displays were also installed mid-floor, ensuring clear sightlines for all delegates regardless of seating position.
The existing stage and lectern were utilised as part of the overall setup, complemented by the venue’s professional lighting system, which provided even, consistent illumination across the space.
Serpentine Hall & Clyde Hall
We delivered fully tailored AV solutions across both Serpentine Hall and Clyde Hall.
In the Serpentine Hall we installed an 8-speaker PA system with four microphones. The visual content was presented on an 11’4” x 6’8” projection screen powered by a 10K projector, with a visual switcher enabling seamless transitions. Two 86” displays provided live relay, ensuring strong visibility from all seating positions.
The stage design included an 8m x 2m platform, a 12m draped backdrop, and a Perspex lectern with integrated digital signage. Lighting was carefully controlled using a 4-way stage wash and eight coloured uplighters to enhance the backdrop while maintaining a comfortable visual environment.
The Clyde Hall was equipped with a similar setup. Audio was delivered via a 6-speaker system with two microphones. A 4m x 2.5m LED video wall, which was used to combat the natural daylight from above served as the primary display, with two 86” plasma screens positioned mid-room to maintain clear sightlines for all delegates. The stage was 8m x 2m with a Perspex lectern and digital signage, and an 18m black drape backdrop. A combination of stage wash lighting and eight coloured uplighters added depth and atmosphere to the space.
Merrion Suite & Minerva Suite
In both the Merrion Suite and Minerva Suite, we delivered streamlined AV solutions that integrated seamlessly with the in-house infrastructure.
Merrion Suite featured a 4-speaker PA system with lectern and radio microphones. We utilised the in-house screen and projector, supported by a dedicated visual control package for smooth content management. A 43” comfort monitor was included to support presenters.
Minerva Suite was equipped with a similarly integrated approach. The PA system, lectern mic, and radio microphones ensured reliable sound, while the in-house screen and projector were again managed through a visual control package. A 43” comfort monitor supported presenters, with the in-house stage and lectern forming part of the overall setup.
The Result
Extensive pre-planning was key to the success of this large-scale event.
Our team carefully coordinated equipment management, transportation, and logistics to ensure all AV systems were delivered and installed efficiently across multiple rooms simultaneously.
Clear communication and effective delegation within the crew allowed for smooth setup and operation, with each space prepared to a consistent professional standard. The event ran seamlessly across all three days, with strong collaboration between our team, Keynote PCO, and the venue.
